My Files¶
For users and managers. Your office only sees this when MyFiles is turned on. See Office options.
My Files is your office file locker. It is not the reprint PDF catalogue, and it is not Magazines or Products. Files you upload here stay with this office. Another agency cannot open them.
Open My Files¶
In the top menu, click MyFiles. Ink staff who are working in your office directory see the same button when the option is on.
Agents do not have MyFiles.
What you can do¶

Upload a file¶
- Open the folder where the file should live (or stay on All files).
- Click Upload.
- Enter a Name, optional Description, and optional Job number.
- Choose one or more Tags if your office has set them up.
- Click Choose file. Allowed types: PDF, JPEG, PNG, BMP, CSV, Excel (XLS / XLSX), Word (DOC / DOCX). Maximum 100 MB.
- Watch the progress bar. If the internet drops, the uploader retries the same way as the Orders replace-PDF tool. Do not close the window until it says the file is verified.
Replace file on an existing item uploads a new version of that file. The current file is replaced; earlier bytes stay in backup storage.
Folders¶
New folder creates a folder in the place you are viewing. You can make folders inside folders.
Drag a file row onto a folder name on the left to move it. Drop on All files to move it out of a folder.
A folder can be deleted only when it is empty.
Tags¶
Tags describe why a file is kept, not the file type. Examples your office might add: Cover Image, Full Page Ad, Customer List, Filler Ad.
Managers add, rename, and remove tags under Manage tags. Anyone who can upload can assign those tags to a file.
Later, magazines and brochures may let you pick a file by tag (for example a Cover Image). That picker is not on this screen yet.
Notes¶
Each file has a notes list. Add a comment when you change a file, ask for a revision, or record what the file is for. Notes stay on the file. Name and description are separate fields at the top of the file panel.
Download and preview¶
- Images show a preview in the side panel.
- PDFs can be previewed in the panel.
- Spreadsheets and Word files are download only.
Use Download to save a copy to your computer.
If you cannot see MyFiles¶
The menu item appears only when support has turned MyFiles on for your office. Ask your manager or support. It is listed on Office options.
